Fire Alarm Maintenance Inspection Checklist

This article was published on 3/2/2017   and updated on  1/18/2022

Installing a state-of-the-art, highly sophisticated fire detection and notification system in your high-rise residential, office, or medical facility is only the beginning. Though these systems may be able to identify rapidly developing fire and smoke threats instantly, they are only effective in saving lives if they are properly maintained.

Whether the fire alarm system is more than a decade old or newly installed, fire alarm maintenance must always be an ongoing priority. Forgetting to test and repair your alarm system can result in loss of life, physical injuries, and extensive property damage.

Finding a Fire Alarm Maintenance Partner

If you have not already done so, working with a qualified, trustworthy fire alarm service company to partner with is an essential first step. The company should be fully licensed and recognized for their expertise in designing, installing, maintaining, and repairing every element of the fire alarm system.

Establishing an ongoing fire alarm maintenance program allows building owners and facility supervisors to focus on other operational details of a large building or campus. Detection and notification systems are complex and should not be serviced or repaired by your regular maintenance personnel. Fire and smoke sensors are delicate and often connected wirelessly to an intricate security network. Any improper adjustment can jeopardize the protection the systems should provide.

Ongoing Testing and Maintenance

Frequent inspection of the fire detection and notification systems are vital to the safety of the occupants and contents of the building or campus. Local authorities may only require a certification of testing once per year, but many elements of the system should be tested, inspected, and documented more frequently.

System components, like any other mechanical devices, accumulate dust and grime over time. Parts tend to wear out with age. Systems can malfunction as a result and create problems that can be fatal. Professional fire alarm maintenance experts know where to look and can identify elements that must be cleaned or replaced.

Thorough testing by trained professionals will signal any malfunction in the system and location of the problem. The results guide the specialist to repair or replace any device or part that will solve the problem to bring your alarm system to an “all systems ready” mode.

Your fire alarm maintenance partner has the technical skills and training to manage all fire alarm inspection procedures, which can range from the proper cleaning of delicate smoke detection devices to replacement of notification devices and control panels.

Recording All Maintenance Activities

All maintenance activity or adjustments to any elements of the fire alarm systems should be recorded and filed with installation documents and manufacturer operations and maintenance instructions. This information is necessary for subsequent service personnel to understand the existing conditions and for fire alarm system inspectors to monitor all work performed.

The maintenance specialist should record any deficiencies encountered and the actions taken to remedy the situation.

Objectives of Professional Fire Alarm Inspections and Maintenance

Your fire alarm maintenance company will provide regular maintenance to ensure your systems are in perfect order for quick notification of occupants. These devices must also alert local emergency personnel to a potential smoke or fire event. Also, proper maintenance will make sure the systems meet the requirements of the:

●        National Fire Protection Association, NFPA

●        Local Authority Having Jurisdiction, AHJ

●        Manufacturer’s recommended inspection frequency and standards

●        Annual system inspection

Visual Inspection

A visual inspection of the components may identify obvious problems such as loose wiring, damaged outer casings or, in some systems, determine the cause of unwarranted warning notifications. Closer examination of the physical condition of control panels, smoke detection equipment, warning devices, and any fire suppression equipment is essential to detect damage caused by vandalism or other factors. Emergency related systems like access control, elevator recall, and HVAC shutdown must also be inspected and tested regularly.

Maintenance experts and fire officials will also look for excessive accumulations of soot and grime that may impair the normal function of the fire detection systems.

Fire Alarm Systems Testing

Inspectors will always look for irregularities that affect normal operations of the detection and notification systems. Modifications to the intended design can be very dangerous, resulting in overall system failure. Moreover, when delicate smoke detection equipment has been manually altered or exposed to a harsh environment, the devices may not work when needed.

Inspection Checklist

Qualified fire alarm maintenance experts will perform detailed testing during their maintenance visits to ensure all systems are in a fully operational condition in case of emergency. The annual testing process which is required by local and national authorities is rigorous, so maintenance procedures should make sure that systems will not fail. A complete inspection involves the following elements:

  1. Control Panel: The control panel is the heart of the entire system. In larger buildings and with today’s connectivity, the control panel links all devices within the system to a central monitoring location and the local fire department.
  2. Circuitry: The licensed technician should inspect for wear and tear or possible disconnections. In a wired system, the effectiveness of the entire network is dependent on the connections being sound.
  3. Detectors: Smoke detectors are often the first line of defense against the threat of fire. These devices work with either photoelectric or infrared detection techniques or both. To test, the technician will introduce an aerosol designed for this purpose to determine if the detection systems are working. If the detectors do not react, they may need to be replaced or repaired. In any case, the technicians should thoroughly clean the detectors to ensure the highest level of sensitivity.
  4. Manual Alarm Pull Stations: In systems where manual pull levers operate fire alarms, handles should be activated to determine that they are working properly. If alarms do not respond, the technician will replace the device immediately.
  5. Heat Detectors: As another line of defense, sometimes heat detection will activate sensors before smoke is detected. Therefore, the testing personnel should test each device by applying heat to the sensor area to make sure these function as needed. During maintenance visits, the sensors should be cleaned or replaced to ensure quick detection and notification when required.
  6. Notification Devices: Modern warning devices are more than alarms. Supplementing the traditional alarm bells with horns or prerecorded audible directions guide individuals to safe areas or evacuation zones. Visual notification devices are also available. These may utilize LED, prerecorded visual instructions directing people to evacuation routes.
  7. Auxiliary Power Sources: Auxiliary power sources are critical elements of a fire alarm system. Making sure the batteries or backup electrical source are working properly is an essential part of any fire alarm system.
  8. Battery Chargers: When batteries are the primary or backup source of power for the system, the technician should inspect and test the charger regularly to make sure it is operational.
  9. Door and Damper Releases: In the case of fire emergencies, doors should automatically unlock for quick evacuation. Dampers in the building should shut to prevent the potential expansion of the danger.
  10. Annunciators: Checking the annunciators to make sure they accurately portray the location of each fire alarm and smoke detector in the building is essential. This equipment must be located near the entrances of the building to give the entering emergency personnel a clear map of the emergency devices.
  11. Central Monitoring: The inspection process will check if and how quickly the central emergency department will receive the signal from the building’s emergency alert system. In any emergency, quick response is crucial to minimize the potential for injury or damage.
  12. Detection Devices in Elevator Shafts and Secondary Areas: Testing smoke and heat detection devices in locations like elevator shafts, utility rooms, storage areas, and annexes is necessary since these are possible locations of fire outbreak.

Regular Preventive Maintenance

It is no coincidence that a regular, professional maintenance program sounds very much like an annual inspection. While the inspection is an annual event required by the local authorities, some of these steps should be part of the regular maintenance cycle by a licensed fire alarm maintenance company.

Don’t Leave Your Alarm in Ground Fault Mode

Did you know that leaving your fire alarm system in ground fault mode is a violation of building code requirements?  A ground fault can leave your building and occupants unprotected from fire detection and warnings. Ground faults can affect the operating voltage, resistance or current of fire alarm equipment.  A multi-ground fault warning may even disable the notification circuit altogether, leaving your fire detection system useless.

Repair System Ground Faults for Fire Protection

Repairing fire alarm system ground fault warnings is critical to maintaining protection to building occupants and property.  Only certified fire alarm technicians should repair any fire protection system, as they have been trained in the proper diagnosis and treatment of fault warnings.  Licensed technicians are experienced with using a volt/ohm meter to properly diagnose ground faults by measuring resistance.

Technicians should assume there is more than one ground fault warning, especially when inspecting systems that have not been serviced regularly.  Regular fire alarm inspections reap big rewards when simple fault warnings are corrected before further damage occurs.  Ground fault warnings can leave your system vulnerable to power surges of external voltage which can permanently damage equipment leading to costly repairs.

Fire Alarm Safety in ADA Apartments

When constructing multi-family apartments zoned as either R1, R2, R3 or R4, contractors must be aware of the required fire and safety code requirements.  Fire alarms must meet NFPA72 regulations, in addition to NFPA101, IBC and ICC requirements for residential ADA structures.  An addressable fire alarm system is ideal in these buildings, with visual strobe alerts, smoke detectors, smoke alarms and CO detectors required in specific locations.

Smoke Detector and Carbon Monoxide Alarm Requirements

The National Fire Protection Association (NFPA) requires that new construction have smoke detectors in all bedrooms and any common area that is within 15 feet of bedroom doors.  Carbon monoxide (CO) detectors are also required within 15 feet of bedrooms and should be connected to sound in tandem with other devices. Any hardwired smoke or CO detectors must be equipped with dry contact relays for monitoring at the base building system.

Smoke and CO sensors in apartment buildings must be monitored by the fire control panel.  If local ordinances require “supervised” smoke detectors, the fire alarm panel must use a 24V DC power source that communicates fully with all sensors.

Strobe Requirements in ADA Apartments

The fire alarm control panel also controls the commands to turn strobe alerts on or off.  Strobes in ADA apartments cannot be wired to the same notification devices in corridors as the sequence in operation differs.  Strobes require a dedicated 24V DC circuit from the control panel with its own source of power.  This allows the strobes to function in various conditions such as activation of a manual pull station, smoke detection in corridors, water flow alerts, smoke or carbon monoxide detection, elevator recall and other programmable situations.

In any event, when a building owner has been notified of occupants with hearing or visual disabilities, the proper notification alarms must be installed immediately.

High Rise Security Systems is a full-service fire and safety company assisting building owners and contractors with code compliant fire systems in a multitude of commercial properties.  We are experienced in high-rise, low-rise, campuses and mass complexes.  Contact us today to speak with a fire safety specialist and learn more about compliance to ADA apartments.

Ongoing Fire Alarm Service

Building owners are responsible for creating an environment that protects all occupants from the threats of fire, smoke, and harmful emissions. Local authorities require that buildings be equipped with regularly tested and maintained fire safety devices.
Maintaining fire alarm systems is not a job for the building’s regular maintenance staff. Only fully trained and certified experts of a reputable fire safety company are qualified to inspect, test, and repair these very delicate instruments.
Ongoing Maintenance Program
Over time, parts wear out, dirt and grime will accumulate, and integrated systems can be interrupted. In these cases, a malfunction is likely to occur when the system is most needed. A system failure can have dire repercussions when precious time might be lost.
As with any other equipment, preventative maintenance is far more economical than waiting for a breakdown that would require emergency repair. Fire detection systems are no different.
For example, many smoke detection devices are delicate instruments that work with a precisely directed beam of light so when smoke enters the chamber, the light beam is refracted which will then trigger an alarm. If dirt accumulates in the chamber, the sensor may not react appropriately. Other sensor and notification devices will malfunction as well without proper ongoing maintenance and testing.
Cleaning sensors, replacing worn parts, testing, and reprogramming systems are all part of a proactive preventative fire alarm service. Only experienced and licensed technicians have the training and the right tools to bring the entire system into proper working order.
Annual Inspection
Local fire authorities and OSHA require at least annual testing of fire detection systems. A certified fire safety company will perform a detailed inspection and provide the building owner with the necessary certification to verify the systems are in perfect working condition.
In high-rise buildings, the requirement to maintain the building’s fire detection systems is essential.
High Rise Security Systems (HRSS) Maintenance Programs
In the Chicago area, HRSS has been providing expert fire alarm services to high-rise buildings for over a decade. As a designer and installer of state-of-the-art fire safety systems by companies like Notifier by Honeywell, HRSS cooperates closely with building owners throughout the region to keep their systems well-maintained.
HRSS will work out an economical, ongoing maintenance and inspection program to provide peace of mind for building owners and managers. Reducing risk by maintaining a clean and operational system is a critical responsibility.

Use a Fire Alarm Maintenance Company: Stay Compliant

Fire alarm maintenance companies perform a vital role in the safety of buildings and occupants. While jurisdictions may have differing requirements for testing fire alarm systems, ongoing maintenance and proof of annual testing are essential in each case.
The National Fire Protection Association (NFPA) establishes the framework to ensure that buildings are safe from developing fire and smoke threats. Preserving the safety of each occupant is the ultimate objective, and compliance is mandatory.
NFPA Codes and Standards
The NFPA issues over 300 specific codes to protect people from death and injury resulting from avoidable fire, electrical, and other related hazards. Local government agencies use these standards as the basis for their fire safety regulations and requirements.
Approval of New or Retrofitted Fire Alarm Systems
When a new fire detection and alarm system is proposed, the best strategy is to collaborate with a professional fire safety company to design the types, number, and locations of devices sufficient to protect the occupants and assets within the building. Planned evacuation routes are also an essential part of the design.
The building cannot be occupied until the local fire agency has inspected and approved the proper installation of the fire protection systems.
Inspecting Existing Systems
Agencies having jurisdiction require building owners to prove that the facility fire alarm systems are well maintained and will operate properly in an emergency. All detection and notification systems must function as designed. Fire suppressant systems, where installed, have to respond to outbreaks as designed.
Fire alarm systems in public buildings are required to undergo a complete inspection each year. Whether these are conducted and documented by a licensed fire safety company or by the local fire authorities, all systems must be in perfect working order and fully responsive.
Partner with a Professional Fire Safety Company
During the design, installation, and commissioning of a compliant fire alarm system, building owners should work with a certified professional fire alarm maintenance company to guarantee compliance with the NFPA and local authorities. Companies like High Rise Security Systems in Chicago are fully trained to provide ongoing maintenance to keep the systems in top working condition. These experts understand all regulatory statutes that govern the safety of buildings and occupants.

Staying compliant with NFPA and local expectations is far more than avoiding citations and fines. Lives and property are at stake.
